Who this notice covers
This notice applies to Phoenix Aviation Charters LLC and its parent, Phoenix Aviation Solutions, LLC (collectively, Phoenix, we, or us) when either company handles information through Phoenix's website, platform, or customer communications. It covers visitors, prospective customers, account holders, travel organizers, and passengers using those services or communicating with the Phoenix team. The Phoenix group also manages aircraft assets and participates in a joint-ownership aircraft arrangement. The owner and aircraft-management data notice supplements this policy for those activities; the applicable engagement identifies the responsible entity.
This notice describes information practices. It does not by itself request consent to optional marketing, recording, or tracking. Where a separate choice is required, we will request that choice in the relevant interaction.
Information you provide
We receive names, contact information, account details, trip requests, preferred airports, dates, passenger counts, travel preferences, and messages you choose to provide. Customer records may include quotes, inquiry history, service preferences, and notes from our team.
When organizing travel for someone else, provide only the information needed for that request and make this notice available to them. Passenger documents or special-assistance details should be provided only through an appropriate channel requested by the team, not in open chat or ordinary SMS.
Information collected through digital services
Our services and infrastructure may receive IP addresses, device and browser information, timestamps, requested pages, referring sources, error logs, and security events. Cookies and browser storage support account sessions, interface preferences, chat continuity, and, where enabled, visit and campaign attribution. The cookie notice explains these technologies.
Alex conversations may generate messages, voice recordings where recording is enabled and disclosed, transcripts, summaries, and structured inquiry details. The AI and recording notice explains how these interactions support customer service.
How we use information
We use information to answer inquiries, prepare and communicate quotes, coordinate requested services, administer accounts, connect conversations to customer records, and provide requested notifications. We also use appropriate information to maintain security, troubleshoot services, investigate misuse, and manage business records.
We may use service interests and inquiry history to help our team prioritize follow-up. Promotional communications require the appropriate separate permission and are subject to your choices. Asking for a quote or speaking with Alex does not automatically enroll you in promotional SMS sequences.
Recipients and service providers
Information may be processed by providers supporting hosting, databases, authentication, communications, AI assistance, and technical operations. Current service categories and known providers are described in our data-use notice. We may disclose relevant details to the operator or service partner involved in a request when needed to arrange the requested service.
We may also disclose information when required by law, to protect rights or safety, to investigate fraud, with your direction, or in connection with a business transaction subject to applicable protections. We do not authorize service providers to use SMS opt-in information for their own marketing.
We do not sell or share mobile numbers or SMS opt-in information with third parties or affiliates for their marketing or promotional purposes. This commitment does not prevent necessary service-provider processing or legally required disclosures.
Retention and security
Retention depends on the type of record, the service requested, operational needs, legal requirements, dispute handling, and the settings of the relevant systems. Deleting browser storage does not delete server-side customer records. Deleting an account may not remove records that must be retained for lawful reasons.
We use access restrictions and technical safeguards designed to protect information. No website or transmission method can guarantee complete security. Contact us if you believe your account or information has been compromised.
Children and international access
The website and account services are intended for adults arranging travel. Information about a child passenger should be supplied by an authorized adult only as needed for the requested service. We do not invite children to create accounts or use Alex independently.
Our services are based in the United States. Providers or travel partners may process information in other locations. Additional requirements may apply depending on the passenger, destination, and applicable law.
Your choices, requests, and updates
You may ask about access, correction, deletion, or other choices using the process in Privacy requests and choices. Available legal rights depend on your location and whether the relevant law applies to Phoenix. We may need to verify your identity and your authority to act for another person.
